This led to many double refunds as both the service provider and the travel agent returned money to cardholders. Chargebacks could even be issued for flights or holiday itineraries that were postponed due to Covid-19 government restrictions if the cardholder didn’t accept the alternative date. In short, a significant source of chargebacks entered the system and still exists with the Covid crisis ongoing.

Best practices still hold true for OTAs and travel agents dealing with these chargebacks:

  • Keep an open line of communication with your customers so they feel their concerns are being addressed.
  • Proactively issue refunds to unhappy customers in cases you are likely to lose as chargebacks. The chargebacks will cost you more.
  • Build evidence for your claims, including receipts, customer correspondence and whatever else you have to prove your case.
  • Get to the point quickly in your correspondence with the issuer. There’s a human being over there reading your argument and you need to make it as easy to understand as possible for them.
  • Be prompt in meeting the deadlines set by the credit card networks so that your acquirer will be on-time for filing in the presentment, fulfilment and re-presentment stages.
